The philanthropic work is co-located with the family office in Lake Forest, Illinois. A satellite office in Chicago allows the team to access Chicago-based meetings and partners more easily. The family office works hand-in-hand with Schreiber Philanthropy and provides accounting, investment, and human resources services.

Job Description

Schreiber Philanthropy is looking for a full-time Administrative Coordinator to join an eight-person team.

We are looking for a passionate, detail-oriented professional who is invested in the mission of our organization. A successful candidate will have strong communication skills, an outstanding work ethic, and a can-do attitude. Our ideal Coordinator would be excited to be stretched with new tasks and challenges, while maintaining a philosophy that all tasks must be done well, no matter how small. Tasks and responsibilities may vary throughout the year as organizational need and activities evolve.

JOB DUTIES

The Administrative Coordinator will serve as a resource and concierge for the organization, overseeing the smooth operation of office administration. Specifically, this job would include (but is not limited to) the following:

Meeting/event support

  • Provide core support for meeting scheduling/coordination for full team of 8.

  • Prepare materials and coordinate spaces for site visits and meetings.

  • Plan and help execute the occasional events, including but not limited to team volunteer days.

  • Help assemble weekly team meeting agendas and materials.

  • Conduct notetaking as needed in internal and external meetings.

Office coordination and support

  • Manage the Chicago office, including deliveries, guest visits, office supplies, and more.

  •  Process and distribute incoming mail to appropriate team members.

Managing data and documentation

  • Support with data entry, particularly for the contacts management system.

  • Collect and submit tax receipts and documentation to VP of Finance.

  • Track and manage various aspects of PR, including a press library.

Support research and communications

  • Develop decks and communication materials.

  • Manage website maintenance and updates.

  • Conduct miscellaneous research tasks.

SKILLS REQUIRED

The successful candidate will bring a positive disposition, resourcefulness, an eagerness to learn, a strong attention to detail and a willingness to take ownership of tasks both big and small.

They will have exceptional verbal and written communication skills so as to be able to draft and review professional correspondence, manage telephone calls and interface with key partners.

Additionally, they will have a deep commitment to superior customer service, solid fundamental data entry skills, and experience with databases.

COMPENSATION BENEFITS

Salary is competitive, starting at $72,000 (negotiable based on experience/qualifications). Highly competitive benefits currently include: An annual SEP retirement account contribution, which is currently 15% of base salary, with no match required. Health and dental insurance through Blue Cross Blue Shield for the employee and their dependents with 100% of the premium paid by Schreiber Philanthropy. A Flexible Spending Account is also offered to employees.

The benefit package includes paid vacation and holidays, employee charitable giving match and professional development services.
